Here to help your business ensure it is running at maximum productivity with the xerox workflow mapping tool.
As you may know by now, we like to refer to ourselves as the business process problem solvers and the clue is in the name… we solve process problems you have within your business.
Why is overhauling your processes important?
If something isn’t broken, don’t fix it right? Well, leaving processes as they are just because they work or because that is how it has always been done can lead to inefficiencies in the business and reduce your productivity. Therefore, we encourage you to continuously look over the way you work and the way that documents move throughout the business, are there ever any errors? Pain points? Does somebody have a list of mundane tasks that could be automated so that they can spend their time doing something more business critical? Technology is continuously advancing, and we guarantee by helping you map your processes we can find you a solution that will make a huge difference to your business.
A consultative approach with the Xerox Workflow mapping tool
Our Managed Services Consultants will meet with you to discuss your current processes and how you work. You will be very surprised by how far one piece of paper/document travels through the business, but don’t worry – we’re here to streamline that!
We will then map out your processes and talk you through each step from the initial retrieval of a document to its journey through the business and where it needs to end up.
Example of a mapped workflow:
The image below shows an example of each stage of a dispatch note and how it travels through the business, what folders it gets sent to, the machines used, the risks that this can entail, where the document needs to end up and most importantly the time it takes to do this.
Once we know how you are working, we can begin to look at different software and solutions that can help to not only save time, but to also reduce risk and boost your productivity.
The image below shows a newly proposed solution for the same dispatch note, after scanning all sales orders, the PDFs automatically moving to hot folders on the server and are automatically named! Reducing the risks of human error with manual data entry and saving the user hours each week.
Therefore, the ability to map out a user’s process meant that we could offer a solution that saves 4 hours a week. The user can hit scan on a document, it then goes to a folder and out to another and the documents are named whatever the customer wants (i.e. after an order number or customer number) these are also text searchable documents which again saves even more time in the future.
